Everything Between the First Call and the Booked Treatment.

Seven modules that share one patient record, one conversation history and one set of outcomes. A patient who calls at 9pm, books, no-shows, reschedules, attends, hesitates and books four days later is one continuous thread — not five disconnected tools your front desk reconciles by hand.

MODULE 01

AI Receptionist

Answers every inbound call in natural conversation, around the clock, with no busy signal during a promotion. Trained on your treatment menu, your providers, your policies and the way your team actually talks to patients.

  • Speaks aesthetics — units versus syringes, neurotoxin brands, laser modalities, downtime and aftercare
  • Handles concurrent callers, so a promotion never produces an engaged tone
  • Warm transfer to your team the moment a conversation needs a person
  • English and Spanish at launch, with full transcripts and call summaries
21:47Inbound call — after hours
21:47Answered in 1.4 seconds
21:48Interest captured — lip filler
21:49Consultation booked — Tue 2:00 PM
MODULE 02

Booking At Your Platform's Capability

Booking platforms differ enormously in what they open up, and several restrict API access by subscription tier. Rather than promise an integration and discover the limits later, we check your platform and your plan first and tell you exactly what you're getting.

  • Tier A — full read, write and events where your plan permits API access
  • Tier B — live event data in, with whatever write capability the platform allows
  • Tier C — Google or Outlook calendar scheduling, available to any practice
  • Tier D — we capture and qualify in full, your team completes the booking
Tier A · Full read + write Tier B · Events Tier C · Calendar Tier D · Staff-assisted

We confirm which tier applies to your platform and your plan during onboarding, and record it in writing before you sign.

MODULE 03

Consultation Protection

You've already paid full acquisition price for every consultation on the calendar. This module exists to make sure the patient actually walks in, and to react fast when she doesn't.

  • Confirmation with calendar invite at the moment of booking
  • Reminder cascade at 72 hours, 24 hours and a few hours out
  • Deposits on high-value consultations, with the policy explained in plain language
  • Intake and photos collected before arrival, so the provider walks in prepared
  • No-show rescue within fifteen minutes, while she still feels the gap
72hReminder sent · still time to reschedule
24hReminder sent · confirmation requested
3hFinal reminder
+15mNo-show rescue — rebooking offered
MODULE 04

Consultation Recovery

The module the rest of the category leaves alone. Your provider taps one button on the way out of the room — booked, thinking, price or timing — and that single answer starts a 21-day text sequence written for that specific objection.

  • Four-way outcome capture that takes your provider about ten seconds
  • Sequences that reference the treatment discussed and the provider she saw
  • Never opens with a discount, which only teaches patients to hesitate
  • Stops the instant she replies — your team only sees warm conversations
  • Text only, with anything needing a voice handed to a person on your team
BookedThinking PriceTiming
Day 1Objection-specific information sent
Day 4Message referencing her provider and treatment
Day 7Handed to a human with full context
MODULE 05

Treatment-Cycle Recall

A patient who doesn't rebook usually hasn't chosen a competitor. She reached the point where the treatment stopped working with nothing in her calendar. Recall is a timing problem, and each treatment has its own clock.

  • Neurotoxin, filler, laser packages and skincare each on their own interval
  • Segmented by recency, last treatment and lifetime spend
  • Highest-value patients contacted first, with a message that reflects the relationship
  • Full opt-out handling and permanent suppression across every channel
Wk 10Neurotoxin patients · result fading
CycleFiller patients · own interval
PkgLaser patients · next session due
OrderHighest lifetime value contacted first
MODULE 06

Human Review Queue

The measure of a good automated front desk isn't how much it handles — it's how reliably it recognises what it shouldn't. Anything needing a person lands in one place with the full conversation and a recommended next step.

  • Medical questions, adverse reactions and complaints escalate immediately
  • High-value leads flagged before they go cold
  • Policy exceptions and unclear requests routed to a decision-maker
  • One-click handoff with the context already written up for you
!Patient reports swelling — escalated
!Complaint about a result — escalated
$High-value lead gone quiet — flagged
?Request outside policy — needs a decision
MODULE 07

Revenue Attribution

Not “engagement”. Not “interactions handled”. One number next to our invoice, traced through a chain you can audit and measured against a baseline we record before we change anything.

  • Baseline period measured before any part of the system goes live
  • Consult → outcome → intervention → response → booking → revenue
  • Influenced, recovered, booked and collected reported as separate figures
  • Consultation outcomes broken down by treatment and by provider
  • Daily digest to the owner, full report monthly

Integration Tiers

We Tell You What Your Software Actually Allows

Consultation recovery, outcome tracking and revenue attribution work at every tier below — they don't depend on booking write access, which is why we lead with them.

Tier A

Full

Read, write and events. Requires API access on your plan — several vendors gate this by subscription tier.

Tier B

Event

Live appointment and client events in, plus whatever writes your platform permits.

Tier C

Calendar

Google or Outlook scheduling. Works with any practice, with reduced patient history.

Tier D

Staff-assisted

We capture and qualify everything, then hand your team a complete booking task.

Boundaries

What Clinairo Deliberately Does Not Do

A feature list that only says yes isn't much use to you. These are the lines we've drawn on purpose.

×

No clinical advice, ever

The system does not diagnose, interpret symptoms or recommend treatment based on a medical condition. Those questions escalate to your provider with an alert. The boundary is enforced in the system, not left to a model's judgment.

×

No AI voice chasing patients

Follow-up runs over text. Anything that needs a voice goes to a person on your team with the full context. It's better for patients and keeps you on simpler ground with telemarketing rules.

×

No replacing your front desk

We take the repetitive work so your team can handle the nervous first-timer and the patient at the counter. Practices that hand everything to AI generally regret it.

×

No clinical records

We hold contact details, appointments, treatment interest and consultation outcomes. No clinical notes, no diagnoses, no treatment photography — a smaller data footprint is a real safeguard, not a limitation.
